Calx is operated by Day One Routine Ltd, 68a High Street, King’s Heath, Birmingham B14 7JZ. This notice covers app.getcalx.co.uk and the marketing site at getcalx.co.uk.Calx records certificate dates. It does not confirm someone is allowed to work.

Who decides

For your firm’s account, billing, and product messages, Day One Routine Ltd is the controller. For crew records you enter, your firm is the controller and we process them only to provide Calx. Ask support@getcalx.co.uk for a data processing addendum.

What we collect

Account details you give us through Clerk (name, email). Firm data you enter: crew names and contact fields, certificate types, card numbers, expiry dates, notes, and optional card photos. Reminder emails we send. Technical logs needed to run and protect the service, such as request times and errors.On the marketing site we store the cookie choice you make, a waitlist email if you leave one, and, only if you allow it, a Google Analytics measurement of the visit. Vercel Analytics counts page views without a marketing cookie. We do not sell crew data.

Why we use it

We use account and crew data to store your register, show Due, send reminder emails you have enabled, and manage billing. That is the contract with your firm. Security logs are our legitimate interest in keeping the service reliable. Analytics and advertising cookies run only with your consent.

Cookies

A necessary cookie stores your consent choice on the marketing site. Sign-in cookies keep you logged in here. Google Analytics loads only if you allow measurement. Marketing cookies load only if you allow marketing.

Processors

We use Clerk (sign-in and billing), Stripe through Clerk Billing (payments), Neon (database), Amazon S3 (card photos), Resend (email), Vercel (hosting), and Google (analytics, only after consent). Each processes data to provide their service to us. Some process data outside the UK, under the transfer terms those providers offer. Card photos sit in private storage, not on a public address.

Retention

We keep your firm’s data while the account is open. If you ask us to delete the account, we remove firm data except where we must keep records for tax, accounting, or a legal claim. Waitlist emails are kept until you ask us to delete them, or until we no longer need them.

Your rights

You can ask for a copy, a correction, deletion, restriction, or a portable copy. You can object to processing based on legitimate interests, and you can withdraw consent. Crew members should ask their firm first. You can complain to the Information Commissioner’s Office at ico.org.uk. Email us first at support@getcalx.co.uk.
